Record Books, County Awards, and Scholarships

Dear 4-H Members and Families,

As we come to the end of the 4-H year, please be aware of the Record Book, County Award Application, and Scholarship Application process and deadline.  All three items must be submitted Monday, June 11th at 5 p.m.  Remember, when you are dropping items off or picking them up from the Extension office, we will not be able to validate parking.

Record Book Submission

  • Record books submission deadline for the 2017/18 4-H year is Monday, June 11th at 5 p.m.  All record books must be submitted to the Extension office by this time.  Late entries may not be accepted.
  • Information for how to complete a record book can be found at Texas 4-H Record Book
  • Record books must meet all of the requirements as detailed in the Family Guide to the Texas 4-H Record Book.  Books that do not meet these requirements may not be presented to the judges.
  • Record books will be judged at the county level during the week of June 11th.
  • Record books that place first in each grade division and category can be promoted to District IV Record Book judging.  District judging takes place the last week of June. 

County Award Application

  • The deadline for applying for county awards for the 2017/18 4-H year is June 11th at 5 p.m.
  • All applications will be done online.  If you are unable to complete the online application for some reason, contact the office before the application deadline.
  • All county awards require an application to be completed by a member.
  • All awards, except Community Service, require the completion of a record book.
  • There are two types of awards, criteria based and merit based.
  • Criteria based awards require applicants to reach certain benchmarks in 4-H and other activities.
  • Criteria awards are Community Service, Rookie Award, Honor Roll, and Letterman.
  • To apply for any criteria awards use the Criteria Award Application
  • Community service records may be emailed to ana.murillo@ag.tamu.edu.  If you email your log, please send it as a PDF, spreadsheet, or document file.  Please make the file name “Your Last Name_First Name_2018”.  If you need to scan a paper copy but do not have a scanner, we recommend using the phone app Office Lens to make PDFs.  Do not send photos in jpeg, tiff, png, or any other image file. 
  • You can also deliver a hardcopy of your community service record to the county Extension office by the award application deadline.
  • Merit based awards require applicants to document their 4-H and other activities and sit for a panel of judges.
  • Merit based awards are Outstanding New Member, 4-H Achievement, Danforth, and Gold S
  • To apply for any merit awards use the Merit Award Application
  • Gold Star applicants will be required to have the recommendation of their club manager.
  • Gold Star recipients will be requested to deliver a short, two minute, acceptance speech at the County Awards Banquet.

Scholarship Applications

  • The deadline for applying for Tarrant 4-H Adult Leaders Association scholarships for the 2017/18 4-H year is Monday, June 11th, 2018 at 5 p.m.
  • The scholarship application is attached to this email and can also be found in the ALA Scholarship folder on our website.
  • You may email your application to  ana.murillo@ag.tamu.edu or delivery a hardcopy by the application deadline. 
  • Only complete applications will be presented to the judges.
  • All scholarship applicants must sit for an interview with a panel of judges.
  • The ALA awards scholarships to junior and senior high school 4-H members.
  • Scholarships will be made in the amount of $500, payable as indicated in the attached guidelines. 
  • Mark Green Memorial Scholarship,  established in 2008, recognizes those youth of Tarrant County 4-H who have established themselves as avid 4-H members.  Mark was an ardent 4-H participant from the time he was a youth.  He resonated the values he instilled in the youth of 4-H.
  • Millie Hurst Memorial Scholarship, established in 1993, recognizes those youth “who do the most work in the 4-H program.” Millie was a highly involved adult leader who encouraged youth to actively pursue their goals.
  • Carefully review the attached document titled ALA Scholarship Guidelines 2018 to determine individual eligibility.
  • Please look for an email from the Adult Leaders Association regarding the scholarship program.

 Award Interviews

  • All merit based award applicants and scholarship applicants must sit for an interview with a panel of 3 or 4 judges.
  • Award interviews will take place Monday, June 25th.  Interviews start at 1 p.m. and run into the afternoon dependent on the number of applicants.
  • Special requests for interview times cannot be honored although every attempt is made to schedule siblings together.
  • If you are unable to be present for the interviews on the above day, you will not be able to receive any of the merit based awards or a scholarship.
  • All interview judges are volunteers.  Respect their time by being on time, prepared, and dressed respectfully.
  • If you will be sitting for an interview for the first time, ask older members, your manager, or myself for guidance and advice.

 County Awards Banquet

  • The Tarrant County Awards Banquet will be held Friday, August 3rd at 7 p.m.
  • The banquet is held at the Tarrant County Resource Connection at 2300 Circle Dr, Fort Worth, TX 76119.
  • It is at this event that all award announcements are made.

Other important dates and events:

Graduating Senior Night

  • All 4-H members who will graduate or have graduated during the 2017/18 4-H year are invited to a celebration of their 4-H career.
  • The Graduating Senior Celebration takes place Tuesday, May 29th at 6:30 p.m. with set up at 6 p.m.
  • Graduating seniors must RSVP by Monday, May 14th by sending a headshot and one paragraph biography to ana.murillo@ag.tamu.edu.  
  • Graduating seniors who attend are invited to bring examples and highlights from their 4-H work through the years and display it at their own table. 
  • All members of the Tarrant County 4-H community are invited to attend.

ALA and CYC Officer Elections

  • The Adult Leaders Association and County Youth Council will be electing officers at their meetings on Tuesday, May 29th at 7 p.m.
  • To be a candidate for office of the CYC, complete the CYC Nomination form by May 14th.
  • All club presidents and county delegates are urged to attend the CYC meeting to vote for next year’s officers.
  • All club managers and club representatives are urged to attend the ALA meeting to vote for next year’s officers.

I strongly encourage all parents and and volunteers to encourage their kids and members to complete record books and award applications.  Sharing your 4-H experiences with the community is one of the strengths of our program.  Please let me know if you have any questions.
