Dear Club Coordinators/ New Incoming Club Coordinators ,

Attached you will find the documents needed 2022-2023 Club Chartering process.  Club coordinators will be responsible for uploading their club chartering documents via 4-H connect.

Club Chartering Forms are due by Friday, June 23rd , 2022 via 4-H connect for County Office  approval for an August 15th club activation.

*Brand new clubs – please submit your paperwork to me and I will upload the documents for you.

WHAT IS NEEDED :

All  4-H Clubs/Group

  • Bylaws  (sample attached)-needs to be uploaded
  •   2022-2023 Chartering Worksheet (completed do not upload only for reference)
  • Signed Club Chartering Agreement- needs to be uploaded

4-H Clubs/Groups With Financial Accounts Updated

  •  Annual Financial Review Form for all existing clubs more than 6 months old and who have bank account(s) -needs to be upload
  • Most recent bank statement-needs to be uploaded
  • 2022-2023 Budget- emailed to angela.bosier@ag.tamu.edu

From July 15th to August 14th all club status in 4-H Connect will appear “inactive” while the State 4-H office is reviewing all Chartering Forms. If there are no issues with the charters, on August 15th the club status will be changed to active in time for re-enrollment.

Youth cannot re-enroll in your club until your Club Charter has been approved.  This is very important being our County Fair begins September 23rd.  A delay in getting your club charter will cause a delay for your 4-H members being able to enroll by Sept 14th which is the deadline for enrollment to be active in 4-H connect in order to participate in Fort Bend County Fair.

If you have any questions regarding the chartering process, please do not hesitate to contact me.

I will be hosting a Club Chartering Q&A on Thursday , June 16, 2022 @ 6:30pm via Teams . Please be sure to accept invite.

Thank you  for all you do,
